Upgrading to Ariba SLP Process Flow

The Ariba SLP Process Flow Framework provides more flexibility and the option of defining your own Qualification processes.

Structurally, you can not have both Legacy Qualification processes and Process Flow at the same time. Once you've upgraded to

Process Flow, Legacy qualification processes are disabled.

I want to upgrade to SLP Process Flow.  How do I proceed?

The first step is to get an overview of what you have today:

​

1.  Run a report on all Qualifications you currently have in your system

 

(This is just for information, but it's good practice to know what is there). As a result, you will also know how many qualifications are still open (i.e. not yet approved/conditionally approved/denied). You can then either complete these open qualifications or, if you want to start from a clean slate, ask your admin to set them to "expired" (by upload).

But there is no need to rush:  open qualifications can be completed under the Legacy qualification process, even after Process Flow has been enabled.

​

 

2.  Activate the Process Flow Framework

 

A customer administrator in your organization must enable the flexible process framework feature using the following two self-service configuration parameters:

  • EnableModularProcessFramework in Intelligent Configuration Manager (requires membership in the Customer Administrator group).

  • Application.SM.Process.EnableModularProcessFramework in SM Administration > Configuration Parameters (requires membership in the SM Ops Administrator group).

Make sure both of these parameters have the same setting!

Once the parameter has been set, the Process Flow Framework is active in your system. â€‹

Now, the elements of your Qualification processes must be configured.

​

Let's call your specific Qualification type "Qualification Light". 

​

1. Define a new process type "Qualification Light" (in file SMProcessFlowTypeExport.csv)

2. Define stati for your new process type (in file SMResourceStatusExport.csv). 

3. Define a questionnaire type "Qualification Light" (in file SMQuestionnaireTypeExport.csv)

4. Create a questionnaire "Qualification Light Questionnaire" (= using questionnaire type "Qualification Light")

5. Set up a Process Project template "Qualification Light"

3.  Your Process Flow Framework is now ready to use

What is the impact?

​

3.1   New Qualifications 

​

If you start a new Qualifcation (i.e. for a combination of Commodity, Region, Department for which the supplier you are qualifying had no previous qualification), it will automatically use the Process Flow process you have defined in the previous step. New Legacy qualifications are no longer possible.

3.2   Existing Legacy Qualifications

​

Existing Legacy qualifcations that are still open can be completed under the old qualification process.     

A qualification is considered completed when it reaches the status "Qualified", "Conditionally Qualified", "Restricted" or "Denied". The status is set at the "Make decision" stage.

​

As long as a Legacy qualification is still open, no Process Flow qualification can be started for the same combination of Commodity/Region/Department. 

​

Once your Legacy qualification is completed, any restart (renewal resp. discontinue) will automatically start under the Process Flow framework. The Legacy qualification is automatically marked as obsolete.

Will my Legacy Qualifications disappear?

​

  • No, Legacy qualifications will still be visible in the supplier's profile (tab "Legacy Qualifications").

  • External qualification questionnaires that were used in the Legacy qualification are still visible in the supplier's Ariba Network account, but they can no longer be edited. 

  • In the Ariba search results and in any API output, only Process Flow qualifications will be shown.

What happens to imported Qualifications?

​

If your admin imports a qualification for a combination of Commodity/Region/Department for which there is already a Legacy Qualification for a supplier, the corresponding Legacy Qualification is automatically marked obsolete. If, however, the imported qualification only covers a subset of the existing one, the Legacy Qualification remains active.

If you want to make your life easier, we recommend that you set "old" qualifications to "expired" (via upload) and make a fresh start with Process Flow.

​

Renewals of imported qualifications will automatically use Process Flow.

What happens to my Qualification Questionnaires?

​

Unfortunately, data migration from Legacy to Process Flow qualifications is not supported!

​

Legacy questionnaires have to be created from scratch, using the Qualification questionnaire type created under Process Flow. 

​

​

Note that Process Flow Qualifications can only start once all steps listed under section 2. have been completed!

​
